What would Nimble cost your business?

How we worked the numbers
Employment costs. We add Employer's National Insurance at 15% on salary above the £5,000 secondary threshold, and the auto-enrolment workplace pension at 3% of qualifying earnings. These are the 2026/27 UK rates and they apply to every employer.
The extras. Recruitment is estimated at 15% of salary spread across a three-year stay. Training and certifications are set at £1,500 a year and equipment and tooling at £1,200 a year. You can switch any of these off. We have left out the harder-to-cost things entirely, like the cover gap when your one engineer is on holiday or off sick, so the figure stays defensible rather than inflated.
The Nimble figure. Two parts: £35 per user, which includes your support, a full enterprise cyber security stack and daily backup, and a platform fee, scaled to the size of your team, for managing your Microsoft 365 environment, your devices and their security. Together that works out at around £55 per user for most businesses, a little higher for the smallest teams. Microsoft 365 licences, phone, broadband and other platforms are separate options, passed through at cost, and any one-off setup is quoted separately.
The honest caveat. This is not a like-for-like swap. One engineer is one person with one set of skills and finite hours. Our service is a team, a security platform and an automation programme. The point of the calculator is not that we are always cheaper, it is to show what the same budget actually buys.
Why our price includes more than most
A lot of providers either charge extra for serious security and management tooling, or quietly leave it out. We build ours in as standard, because we've invested in the automation and standardisation that let us run a genuinely efficient, consistent service. The point isn't to take humans out of the picture. It's to give our engineers the time and headspace to be properly human when it matters.
Serious tooling, built in
We've invested in the security and management platforms most IT firms charge extra for or skip entirely. The same engine some of the biggest companies in the country rely on, working quietly in the background of every Nimble setup. You get enterprise-grade protection as standard, not as an upsell.
One proven setup, every time
Every Nimble client runs on the same secure, standardised configuration. Nothing fragile, nothing bespoke to babysit. That predictability is the quiet reason we can include so much, with no compromise on what sits behind it.
A real person on the other end
The point of systemising is the opposite of how it sounds. Better tools mean less firefighting, which means our engineers actually have the time to know your business, talk to your people, and pick up the phone properly when something matters.
The systems take the noise away. The humans stay.
Pricing questions, answered honestly
The questions we get asked most often, with the answers we'd give over a coffee.
Are Microsoft 365 licences included in the price?
Not in the platform fee or the £40 per-user bundle, no. M365 licences are a separate Microsoft cost. We pass them through at cost and bill them on your behalf so it's one invoice and one supplier, but the Microsoft licence price is the client's, not ours. We never absorb Microsoft price rises into our margin.

What does the platform fee actually cover?
The work that happens whether you ever raise a ticket or not. That includes managing the security stack, running the backups, keeping every device patched, maintaining the Intune configuration, monitoring the environment around the clock, and the engineering effort that keeps the whole platform secure and consistent. The fewer calls you have to make to us, the better the platform fee is doing its job.
What if our team grows or shrinks?
The per-user element adjusts month to month with your actual user count, so growing or shedding a few people doesn't need a conversation. The platform fee band is reviewed annually as part of your review, in case you've moved into a different size bracket.
How does pricing work if we have more than one Microsoft 365 tenant?
Quite a few of our clients operate more than one M365 tenant, whether through acquisitions, separate trading entities, or historical reasons. The fair structure is: the platform fee is set by your total user count across all tenants, and we charge that fee on your primary tenant, plus 55% of that fee for each additional tenant we manage. That reflects the genuine extra work each tenant creates (separate security baselines, policies, monitoring) without triple-counting the relationship.
If your multi-tenant setup is historical rather than necessary, we'll often suggest consolidating it as a project, which usually cuts your fee and our cost to serve.
Is onboarding or migration included?
The ongoing management is included. The work to bring you across to a Nimble-managed platform is project work, scoped separately and quoted up front. For most businesses that's a structured 90-day onboarding programme. We run a full audit, deploy the security baseline, stabilise what needs it, and bring you onto the same standard every Nimble client gets.
Can you support business platforms beyond Microsoft 365, like phone systems, CRMs and line-of-business software?
Yes. Lots of businesses are tired of juggling separate suppliers for their phone system, CRM, accounting software and line-of-business tools alongside their IT. Nimble can act as your single accountable point for any of them, owning the vendor relationship, the security posture, and the integration into your Microsoft 365 environment.
Standard platform support is £75 per platform per month. That covers vendor liaison and ticket-chasing on your behalf, user provisioning and deprovisioning, standard day-to-day configuration changes, identity and SSO integration with Microsoft Entra, and ongoing security oversight.
Anything beyond day-to-day support is treated as project work and scoped separately. That includes bespoke automation inside the platform, custom workflow design, complex reporting builds, deep configuration changes and platform-specific consultancy. Specialist platforms like Salesforce, Dynamics or NetSuite are also typically project-scoped, because the work involved varies significantly from one engagement to the next.
Do you offer different pricing for charities or non-profits?
